Dental Office Manager

Portland, OR - Full Time

General Responsibilities

  • Provide general oversite and support to practice doctors and team members and is accountable for office goal achievement, team satisfaction and patient experience (office reputation).
  • Maintain regular communication with dental office team, doctors and RDO to review practice trends and performance with a focus on a minimum of production, team costs and collections being same or slightly better than prior year practice performance.  As well as, a positive working culture for the entire team.
  • Review and develop recommendations for improvement of operational processes working collaboratively with SDP direct report.  (Either RDO or COO)
  • Assist in onboarding and supporting other partner practices in one’s region. 
  • Approve and monitor office and team hours for the practice and ensure proper team requisitions and or recommendations are made for the practice. Team training on efficient process to achieve practice goals related to production, collection, new patients and profit margins.
  • Answer employee requests and questions and help resolve issues.   
  • Guide and maintain practice revenue and cost center spending within set guidelines at beginning of partnership with SDP. Review of monthly profit and loss statement and expense reports with RDO/COO or CFO. Collaborative planning and swift execution to course correct undesired trends.
  • Daily tasks include but are not limited to those related to patient flow and experience, financial coordination of patient accounts/ ledgers, insurance check posting, A/R follow up, claim appeals, conflict resolution with patients, treatment planning, financial arrangements, effective marketing strategies and efficiency in scheduling for goal achievement. Oversite of the financial/production coordinator of the office for proper filing and coding of daily claims for service rendered and collection efforts.
  • Daily (end of day reporting), weekly (staffing levels, patient visits and A/R balances) and monthly (month end information as outlined by A/F to close month end and process) deliverables by due dates to business support office.
  • Review of prior day business activity for proper billing of services and provider assignment.
  • Monitoring of marketing effectiveness.  Submission of monthly ROI report to RDO.
  • Team development in the business of dentistry through regular on-site training, strength identification and proper positioning on the team for maximum success for the team member and the practice. 
  • Facilitate monthly team meetings to review general practice news, progress plan for the practice and how each team member and department is accountable for creating and accomplishment of goals. 
  • Edit and approval of time cards for payroll processing.  Collection team changes to employment.  Approving team requests for time off and coverage plans provided by team member requesting time off.
  • Other duties as assigned

Job Qualifications & Requirements

  • Over [three] years in a dental operational/management role coupled with extensive knowledge in comprehensive dental practice administration. 
  • Email proficient and ability to use technology such as shared drives and basic computer literacy.
  • P&L experience with budget management, personnel management, and team building is a plus.
  • Active listening skills, ability to implement processes and collaborate with RDO for needed changes.
  • Highly organized and detail oriented.
  • Ability to work collaboratively with doctors, practice team members and business support team members.
  • Education: High School Graduate with at least some college course work preferred
